About the Role:

We're looking for a highly organized, detail-oriented Sales Coordinator to join our growing team. This role is key to supporting the success of our sales team, ensuring that our practitioner partners and their patients receive timely, personalized, and professional service. You'll be the behind-the-scenes wizard keeping things running smoothly - managing communications, coordinating logistics, and making sure nothing falls through the cracks.

Responsibilities of the Role:

  • Provide day-to-day administrative and operational support to the sales team to ensure timely and effective follow-up with both prospective and existing practitioner partners. This includes managing backend processes such as coordinating billing and finance tasks.

  • Support marketing enablement efforts by preparing and sending marketing kits and resource materials to practitioner partners, helping them effectively promote their personalized supplement programs and drive client engagement.

  • Participate in revenue-generating activities by joining sales calls to provide administrative and operational support, identifying opportunities for account growth, and ensuring practitioners have the tools and information needed to increase their revenue.

  • Act as a liaison between the sales team and internal departments as well as external customers, to support seamless cross-functional collaboration.

  • Manage and coordinate the bulk custom formula program by overseeing details such as generating quotes, following up with practitioners, and ensuring all steps are in place for successful formula creation and delivery.

  • Review and prepare product and label details for printing, ensuring accuracy and alignment with customer expectations.

  • Support custom label printing needs through light Photoshop or file manipulations (experience with design tools is a bonus).

  • Ensure CRM accuracy and follow-up consistency by logging communication and supporting practitioner engagement under the guidance of the sales team.

  • Contribute to continuous process improvement by identifying opportunities to increase efficiency and service quality, and by documenting standard operating procedures (SOPs) to support cross-functional consistency.

Experience Requirements:

  • Exceptional organizational skills; you're the kind of person who thrives on checklists, timelines, and making sure every detail is covered.
  • Excellent written and verbal communication skills, you’re confident speaking with customers and internal stakeholders alike.
  • Proven ability to juggle multiple projects and priorities with ease.
  • A proactive, can-do attitude and a passion for creating a great customer experience.
  • Strong technical proficiency with tools such as Google Workspace (Docs, Sheets, Gmail), project management platforms like Basecamp and Trello, team communication tools like Slack, and CRM systems (experience with HubSpot is a plus).
  • Bonus: Experience with Photoshop or design tools to support light file prep for printing custom labels.
  • Based in Victoria, BC, with the flexibility to be on-site as needed for label and product reviews.

The typical starting base salary range for this position is $50,000 - 55,000 CDN.
